Main Duties

  2. Detecting and diagnosing faults in engines and parts.
  3. Dismantling and removing engine assemblies, transmissions, steering mechanisms and other components, and checking parts.
  4. Repairing and replacing worn and defective parts,referring to service manuals as needed.
  5. Performing scheduled maintenance services, such as oil changes, lubrications,engine tuneupsandensure compliance with pollution regulations.
  6. Diagnosing and testing parts with diagnostic scan tools.
  7. Dismantle and reassemble vehicle body components.
  8. Wear appropriate PPE.
  9. Knowledge of Jump starting modern vehicles.
  10. Accurate time recording on iBodyshop.
  11. Oversee and train enthusiastic Apprentices.
  12. Identify, address and recordsafety problems within production area.
  13. Adhere to the company policies, procedures and standards.
  14. Maintain a clean workplace, tools and equipment.
  15. Maintain equipment in a safe and serviceable condition.
  16. Advise Workshop Manager of any supplements (extra damage, sublet or parts) not on Job Sheet.

Scope and Purpose of the job

Responsible for customer service function, administering production, accounts receivable / payable, customer and stakeholder communication and all general office duties. Representing company values, vision and goals. Represent the company’s best interests with professional conduct with stakeholders, customers, insurers and brokers.

Main Duties

  1. Customer Service / Stakeholder Relations
    • Greet customers promptly, in a friendly and approachable manner (with a smile).
    • Gather customer details using iBodyshop system.
    • Have customer sign information release for at time of estimate.
    • Advise customers of insurance claim and repair processes, face to face and via phone, text and email.
    • Offer waiting customers a drink from the beverage list, while they wait.
    • – Book customers for estimates and repairs via phone; sending confirmation text and emails such as repair booking confirmation, Nitro Private Repair Authority Form. Ensure “requests for quote” sent to use through ORM, Estimage and email, are added to the system and booked in for an estimate within 24 hours of receiving the request.
    • Updating insurance systems, Allianz Connect and Innovation Group portal.
    • Respond to insurers with updates on repair booking dates etc.
    • Record all correspondence via notes section on jobs.
    • Liaise with part suppliers on parts ETAs and other queries.
  2. Production Administration
    • Call customers to book for repairs, with dates set by Estimator. Email Repair Booking Confirmation post phone call and if they customer requests, send a text with repair dates.
    • Task Estimator to order parts for booked repairs.
    • Upsell Loan Car for customer booking.
    • Ask Estimator or Workshop Manager when they would like any sublets booked for and arrange, at time of booking customer. Raise Purchase Orders on booked sublet services and mark Trackable as ‘ordered’. Create a task for sublet booking, for all office team to be aware.
    • Review production in, by Thursday the week before. Checking parts, sublet requirements to ensure booking dates can be confirmed.
    • Ensure any private jobs have the authority form signed and scanned onto the job.
    • Ensure all insurance jobs are authorised.
    • Review arrivals with Workshop Manager to check for any changes that are required and coordinate the requirements. This can include finding additional jobs to bring forward.
    • Invoice excesses Friday before repairs and email to owner.
    • Send reminder text message (if customers likes this form of correspondence) Friday before the booking or via the customers preferred correspondence method.
    • Print job sheet, prepare key ring, car seat cover kit by Friday before the booking and file. The evening before, place the arriving job sheets at the Reception desk ready for customer drop off.
    • Participate in production meetings – twice daily. Updating customers from these meetings. Gathering any potential delays from the Workshop Manager or Training & Quality Assurance Manager.
    • Mark trackable as completed once the work has been done or the sublet invoice has been received, which ever is soonest.
    • Make note of sublet bookings in departure notes.
    • If booking date is brought back, note customer expected completion date in the departure notes for our reference.
  3. General Office
    • Coordinate general email accounts, post, scanning, printing, processing confidential information.
    • Maintain a tidy office daily by cleaning kitchenette, reception area, refilling kettle and water cooler. Keep all printers refilled with paper, back up toner and drums in stock.
    • Shred confidential documentation and empty shredder regularly.
    • Coordinate waste and cardboard collections via email and list details on the office whiteboard of when collection has been arranged for and which site.
    • Maintain office supplies by placing orders with Officeworks and Woolworths, in line with available budget/s.
    • Answer incoming calls and direct the calls to the appropriate person, where and when necessary.
    • Check message bank each morning or after being inundated with calls.
    • Check and process emails on “info” account daily. Ensure the mail box is kept clean and up to date with all emails being actioned.
    • Regularly refill toilet paper, paper towel, soaps etc. in all bathrooms, ensure appropriate stock levels are kept on site.
  1. Accounts
    • Receive consumable invoices to iBodyshop, checking all details to ensure purchase orders are detailed on the invoices, receive to the correct account for accurate recording on the Profit & Loss. i.e. paint materials separate to paint consumables.
    • Reconcile monthly statements. Checking every invoice thoroughly before preparing the payment for the Managing Director.
    • Receive utility invoices, create EFT payment for due date and task Managing Director to process payment on due date.
    • Produce Purchase Orders as requested from management.
    • Receive parts invoices to relevant jobs on iBodyshop, checking part numbers, list and trade pries are correct. Make necessary adjustments, ensuring our parts margin doesn’t decrease with the change. Ensure any parts that arrive but were not ordered, are highlighted with the Estimator. Once the Estimator has clarified, they may request you to prepare the return.
    • Ensure returned parts all Good Return Advice forms are signed, name printed and dated by the collected of the return part, then matched to the original invoice.
    • Follow up credit notes once parts have been returned, ensuring they are provided within 2 days of the part being collected from our storeroom (assuming the supplier is not mainland based).
    • Receive and receipt payments including remittances.
    • Raise 1 Mechanical invoices in Xero financial program daily.
    • Raise Purchase Orders in 1 Mechanical Xero as requested by management.
  2. All administrative functions relating to the repair process.
  3. File invoices, statements, authorities and other job related documents ensuring they are scanning onto iBodyshop.
  4. Business attire to be worn professionally with hygienic and clean appearance to maintained at all times. Items must be ironed.
  5. Accurate clocking on and off on iBodyshop.
  6. Work closely with the Management Team on any of their administrative needs.
  7. Work on projects relating to business development and innovative process improvements.
  8. Maintain confidentially across all matters.
  9. Attend conferences as required.
  10. Maintain a clean workspace, ensuring confidential documentation is filled and then shredded.
  11. Adhere and Maintain company standards and enforce compliance.
  12. Identify, address and record safety problems, ricks & hazards within the company.
  13. Any other tasks as requested by your supervisor or management.

  • Upsell Loan Car for customer booking – $43,680 per year, $3640 per month, $910 per week (3 cars @ $80 per day – figures based on 50% bookings).
